Ilmington Tennis & Multi-sports Club

 Constitution  July 2006

TITLE………..The Club shall be called Ilmington Tennis & Multi-Sports Club.

 OBJECT…….

1.      To manage and maintain by accruing sufficient funds the multi-sports facility on behalf of Ilmington Parish Council in accordance with the lottery grant conditions effective from June 1996 for fifteen years.

2.      To promote and encourage the game of lawn tennis and other sports.

3.      To encourage use of the sports area by residents of Ilmington and surrounding villages for basketball, football and floorball especially by young people.

4.      To support village life and activity.

 

MEMBERSHIP AND FEES

 Membership shall be open to anyone (unless the Committee believe membership is likely to be contrary to the best interests of the club) who lives in the area.  Fees shall be approved at the Annual General Meeting of members.  Fees must be paid by the 1st March.  It shall be within the power of the Committee to nominate individuals as Honorary Life Members.  There may not be more than three such members at any one time.

ADMINISTRATION

The Club will be administered by a Committee elected at the Annual General Meeting.  The number of committee members can be varied.  It is within the Committee’s jurisdiction to co-opt further members if necessary.  Sub-Committees (e.g. Social and Playing) may be formed by the Committee from club members.

GENERAL MEETINGS

An Annual General Meeting shall be held each year in January with at least 14 days notice given to members.  An Extraordinary General Meeting shall be held at the discretion of the Committee or if an application signed by at least ten members be presented to the Secretary stating the reasons for the meeting.  Members must then be notified in the same way as for an AGM.

ELECTION OF OFFICERS

1.      All elections must take place at the AGM.  If any posts cannot be filled at the AGM it is within the power of the Committee to elect officers from within the Committee at a committee meeting after the AGM.

2.   The following officers should be elected and should serve until the next AGM when they shall be eligible for re-election:    Chairman, Vice-Chairman, Secretary, Treasurer, Social Secretary, Membership Secretary.  Other officers may be elected by the committee.

3.   The Chairman shall be an ex-officio member of any Ilmington Tennis & Multi-sports Club committee or sub-committee.

VOTING

Voting on all matters shall be by a simple majority of paid-up members at any AGM.   Any change in the rules shall be by a 2/3rds majority of those present and voting.  The Chairman of any meeting shall have the casting vote.  A quorum at a General Meeting shall be ten paid-up members.  A quorum at a Committee Meeting shall be four members.

SECRETARY

The Secretary shall keep a record of all business transacted at meetings.

TREASURER

The Treasurer shall keep and render to the AGM precise account of the income and expenditure for the past year.  Cheques and withdrawal forms shall be signed by any two officers or committee members whose signatures are registered with the bank.

INTERPRETATION

The Committee shall be responsible for interpreting the Rules and Constitution of the Ilmington Tennis & Multi-sports Club.

DISSOLUTION

Upon dissolution of the club, any net assets of the club will be applied to sporting or charitable purposes.
